Bottles Japan — effective 25 September 2026. This policy explains how Ebisu Maruco Co., Ltd. (恵比寿マルコ株式会社) ("Bottles Japan", "we") handles personal information collected through bottlesjapan.com, by email, WhatsApp and in our Tokyo shop, in accordance with the Act on the Protection of Personal Information of Japan (個人情報保護法) and, where applicable, the GDPR and other local laws.

2. What we collect
- Order and account data: name, shipping and billing address, email, phone, date of birth or age confirmation, order history, delivery instructions, and any tax or import ID required by your country's customs.
- Payment data: processed by Shopify Payments, PayPal, Shop Pay or your bank / Wise. We never see or store full card numbers.
- Communications: emails, WhatsApp messages, chat messages and shop-visit notes relating to your orders, storage and enquiries.
- Device and usage data: IP address, browser, pages viewed, referring site and cookie identifiers, collected automatically when you use the site.
- Age verification: confirmation that you are 20 or over (Japan) or of legal drinking age at the delivery address. We do not knowingly collect data from anyone under 20 and do not sell alcohol to minors.
3. Why we use it (purposes of use)
- To process, ship, store and deliver your orders, including sharing your details with carriers, customs authorities and, for international orders, customs brokers.
- To verify age and legal eligibility to purchase alcohol, and to screen orders for fraud.
- To answer enquiries, send order and storage notices, and provide after-sales service.
- To comply with legal obligations, including liquor licensing (酒税法), tax and invoicing records (インボイス制度), and lawful requests from authorities.
- To send you news and offers only if you opted in; you can unsubscribe at any time via the link in each email or by writing to us.
- To operate, secure and improve the website (analytics in aggregate).
4. Legal basis (for customers in the EEA / UK)
Performance of the contract with you; our legal obligations; our legitimate interests in running and securing the store and preventing fraud; and your consent for marketing and non-essential cookies.
5. Who we share it with
- Shopify Inc. (store platform, hosting, payments, Shopify Inbox chat) — see https://www.shopify.com/legal/privacy.
- Payment providers: Shopify Payments (Stripe), PayPal, Shop Pay; banks and Wise for transfers.
- Carriers and customs: Yamato Transport, Japan Post (EMS), FedEx, DHL and the customs authorities of the destination country, who receive the name, address, phone and shipment details required for delivery and clearance.
- Communication tools: WhatsApp (Meta), Google Workspace email.
- Analytics and advertising: Shopify analytics, Google Analytics and Meta (Facebook / Instagram) pixels where enabled; these use cookies described in section 8.
- Authorities where required by law. We do not sell personal information.
6. International transfers
Our platform providers store data outside Japan (including the United States, Canada, Ireland and Singapore). For international orders your delivery details are necessarily transferred to the destination country. Where Japanese law requires it, we transfer data only to providers that have committed to equivalent protections. Customers in the EEA / UK: transfers are made under Shopify's and our providers' standard contractual clauses.
7. How long we keep it
Order, invoice and shipping records: at least 7 years, as required by Japanese tax and commercial law. Storage-account records: for the storage period plus 7 years. Enquiries without an order: up to 2 years. Marketing consents: until you withdraw them. Analytics data: as set by the cookie durations below.
8. Cookies
We use cookies and similar technologies that are necessary for the site to work (cart, checkout, login, age-gate memory, language and currency), for analytics (Shopify analytics, Google Analytics) and, where you accept them, for advertising (Meta pixel). Shopify's list of storefront cookies is at https://www.shopify.com/legal/cookies. You can control cookies in your browser and, where a consent banner is shown, through that banner. Blocking necessary cookies will prevent checkout.
9. Your rights
You may ask us to disclose, correct, add to, delete, or stop using the personal information we hold about you, to object to marketing, and (EEA / UK) to port your data or lodge a complaint with your data-protection authority. Email info@bottlesjapan.com with your name and order number; we verify identity before responding and reply within 30 days. We may retain data we are legally required to keep.
10. Security
Data is stored on Shopify's PCI-DSS compliant infrastructure and in access-controlled business accounts. Only staff who need it for your order can see your information. Our shop and storage records are kept in locked premises.
11. Children
Our site and products are for adults aged 20 and over. If you believe a minor has provided us with personal information, contact us and we will delete it.
12. Changes and contact
